SACCO Management Software in Kenya: Features, Costs and How to Choose
SACCO software tracks member shares and deposits, loans, guarantors, dividends and M-Pesa contributions. Here's the feature checklist, how pricing works, and the warning signs we saw while rebuilding one SACCO's 12 years of records.
We once rebuilt 12 years of a SACCO's unreconciled records into a single forensic report, because the books had lived in exercise books, spreadsheets and memory. Good SACCO management software exists to make sure that never has to happen.
Features every SACCO system needs
- Member register with KYC, nominees and share capital
- Deposits and savings (BOSA), plus FOSA accounts for SACCOs that offer them
- Loans: products, appraisal, guarantors, repayment schedules, arrears and penalties
- M-Pesa integration so contributions and repayments post to the right member automatically
- Dividends and interest on deposits calculated at year end
- Statements members can request by SMS or a portal
- Audit trail: who changed what, and when
- Reports for the committee, the AGM and, for deposit-taking SACCOs, SASRA
How SACCO software is priced
Packaged SACCO systems are usually charged per member or as a licence with yearly support. Custom systems are priced on scope: our custom systems start from KSh 120,000. The bigger decision isn't price. It's whether the vendor will still be supporting you in five years, and whether you can export your data if not.
Matatu SACCOs have different needs
Transport SACCOs track vehicles, daily remittances, route levies and driver records as well as member savings. Make sure any system you consider has a vehicle and remittance module, or can be customised to add one.
Warning signs from a real rebuild
- Contributions received but not posted to members
- Loans issued without recorded guarantors
- Different totals in the treasurer's book and the bank statement
- Nobody able to produce a member statement on request
